We embrace diversity in thought and contribution and are committed to providing an equitable work environment that is foundational to our core values as a company and is vital to our success.Executive Assistant – Maternity CoverJob SummaryThe Executive Assistant reports to two VP’s, supporting the function on the following tasks and responsibilities.Meeting and Event Planning/PreparationOrganizes and attends meetings, as and when requiredDevelops agendas and prepares meeting materials (such as presentations / reports)Co-ordinates stakeholders globallyOrganising appointments and meetings, this includes coordinating stakeholders across our sites in Europe and GloballyPlans and organizes attendance to various board and management meetingsSupporting the EMEA management team as and when requiredAdminCoordinates complex calendarsCreating schedules for tripsBooking travel; flights, cars, hotels etc.CommunicationsMaintains confidentiality and deals with information that is highly sensitiveDeals with correspondence, takes dictation / minutesAble to communicate clearly with the team and stakeholdersEnsuring relevant internal and external stakeholders are aware of relevant commitments, and any documents required are received and distributed in a timely mannerScreening telephone calls and emails, dealing with enquiries and requests, whilst handling them in an appropriate mannerSpecial ProjectsCoordinates special projects as neededBudgeting and Expense ManagementProcesses expense reports and POs and proactively manages to completionManages departmental budgetsPerson SpecificationConfident and determinedArticulate and assertiveStrong interpersonal skillsFocused and drivenFlexible, adaptable and self-motivatedA pro-active worker, ability to take initiative and work unsupervisedAbility to cope in a rapidly changing environment and work under pressureStrong multi-tasking abilitiesA team playerA friendly and approachable attitude to work5+ years’ experience working at VP or Board LevelEquinix is committed to ensuring that our employment process is open to all individuals, including those with a disability.
