Job description: To assist in all aspects of the administration of Shore Engineering. To provide comprehensive support to all clients (both internally and externally) in a professional and helpful manner and as specified by your line manager. Work towards an effective and efficient operation in accordance with Shore’s policies and their relative priorities.The tasks you will undertake will include (but are not limited to):

  • Work within your designed team to ensure that all data-entry, documentation, printing and filing duties are performed accurately and in a timely manner.
  • Provide reception duties for all visiting clients and suppliers including the provision of refreshments as when required.
  • Ensure all incoming post is distributed and all external post is franked ready to be taken to the Post Office.
  • Respond promptly and thoroughly to any requests for information.
  • Understand and help deliver agreed KPI’s, in collaboration with your team and line manager.
  • Advise your line manager, or other appropriate manager, if your duties and responsibilities cannot be properly performed.
  • Attend any internal or external meetings as required by your line manager.
  • To take responsibility for maintaining your own health and attendance and comply with relevant health and safety, equalities and diversity requirements for Shore.
  • Demonstrate the effective use of the range of communication methods available: written, spoken, electronic, and use these methods in appropriate ways suitable to the context and situation.
  • Promote good performance, developing clear, structured and efficient ways of managing workload and delivering results.
  • Demonstrate the effective and efficient use of the full range of resources provided by Shore.
  • Provide excellent customer service.
  • Actively foster good working relationships with colleagues and customers in order to collectively achieve Shore’s direction and ambition and assist your team to progress towards achieving agreed goals and objectives.
  • Play an active role in your appraisal, understand your objectives and action any appropriate development needs
  • To effectively communicate the organisation’s vision and values both internally and externally. Promote a culture of openness and understanding, ensuring important information is shared promptly.
  • Foster positive relationships with all agencies and partners relevant to the organisation.

To be successful in this role, you will be able to demonstrate:

  • Excellent communication skills both oral and written
  • Great working knowledge of Microsoft Office as well as confidence using bespoke IT systems
  • The ability to access input & retrieve data from a computer system competently and accurately
  • A confident candidate who will be responsible for taking complete ownership over their work and being able to work independently as well as in a team
  • The ability to manage and execute a daily workload without extensive supervision
  • A quick and adaptable learner who will become familiar with and adhere to the current administration processes
  • Accurate scanning of documents and subsequent digital filing
  • Good Attention to detail and problem-solving skills
  • Ability to be flexible and adapt to change
  • Some understanding of the construction industry would be of advantage
