Job description: Exciting Opportunity: Admin Assistant Derry/ LondonderryPosition Overview:

  • Job Role: Admin Assistant
  • Location: Derry/ Londonderry
  • Start: ASAP
  • Duration: 12 weeks with a possibility of extension
  • Pay: £10.94 per hour (Weekly Pay)
  • Working Pattern: Monday to Friday, 9 am to 5 pm (37 hours)

Main Duties:

  • CORRESPONDENCE

 Monitor the Section Inbox on a daily basis and forward mail to appropriate officer.
 To ensure that High Priority PiP’s are delegated as dictated by their urgency and deal with non-urgent PiP’s as agreed with Section Engineer.

  • MAIL TRACKING

– To mail track correspondence from internal and external customers as necessary/or as instructed, acknowledge receipt with 3 working days.
– To print off a report on a weekly basis and ensure that a response is issued with 15 working days of receipt.

  • JOB CARDS – O&M WORKS ORDERS

– Recording and processing updates of Job Cards.
– Maintaining and updating spreadsheet in relation to Job Cards.
– Filing of completed Job Cards in a timely manner.
– Job cards to be printed off for P+T in their absence.

  • CUSTOMER CARE

– To deal with customer queries, either by phone or face to face in a timely manner
– Ensure that reception is covered during agreed office hours.
– Forward Permit/Consent applications to customers via e-mail or post when requested.
– Preparing and releasing approved Permits/Consents.
– Issue refunds relating to Permits/Consents promptly.

  • ACCOUNT NI

– Complete and submit Supplier Details as required.
– Raise Purchase Orders for Premises if requested.
– Monies received should be lodged within two days of receipt.
– Preparation and submission of E-Forms ensuring that they are authorised and forwarded to Account NI.

  • PUBLIC LIABILITY CLAIMS

– Process as directed by Section Engineer.

  • FILE PLAN AND DESTRUCTION

– To maintain and update file plan as necessary.
– Carry out file destruction as per PRONI guidelines on a yearly basis.Essential Criteria: To be successful in this role, you should have:

  • Excellent IT skills, including the use of Microsoft Word and Excel.
  • Good communication skills.
  • 2 GCSEs, both Maths & English (or Level 2 equivalent).
  • Basic Access NI Check.
