Job description: The AV & Classroom Support Team have overall responsibility for the support, installation, operation, maintenance and upgrade of audio-visual, video-conferencing and multimedia presentation facilities and services in venues across the School (including lecture theatres, classrooms, meeting rooms and teaching laboratories). They also act as service owner for the Zoom service to support hybrid teaching and meeting facilities.

The AV & Classroom Support Team is a component of the broader Operations and Support Team, which falls under the purview of IT Services.

The working hours for this role are during the daytime from Monday to Friday. However, there may be instances where occasional evening work is necessary to provide assistance for events. As a member of the team, you will be part of a rotational schedule and will have regular shifts on the Helpdesk, collaborating with colleagues from other support teams.

The responsibilities of the role include:

  • Providing support for audio-visual, multimedia, and video conferencing presentation facilities and services.
  • Collaborating with staff members throughout the School to align audio-visual and video conferencing facilities and systems with user requirements, consistently seeking to improve service quality.
  • Working alongside the AV & Classroom Support Manager, fellow Audio-Visual and Classroom Support Officers, and one Evening Support Officer to maintain the delivery and upkeep of high-quality audio-visual, multimedia, and video conferencing services for the School.
  • Ensuring that audio-visual, multimedia, and video conferencing equipment are fully functional.
  • Conducting regular maintenance checks to ensure optimal performance.
  • Troubleshooting and resolving technical issues related to AV and/or video conferencing equipment.
  • Coordinating with external installation engineers and maintenance contractors for new installations and to ensure preventative and corrective maintenance of all audio-visual and video conferencing systems.
  • Providing guidance and training to first-line support staff on the ITS helpdesk to assist with AV and video conferencing call-outs.
  • Collaborating, when necessary, with third-party AV suppliers for maintenance, repairs, upgrades, and new installations.
  • Assisting in the integration of the lecture capture system with relevant AV and/or video conferencing systems, ensuring that the hardware components of the lecture capture setup are fully functional and capable of meeting the School’s evolving needs.
  • Maintaining comprehensive documentation and inventory lists of all relevant systems and ensuring backup provisions (including regular programming backups) are in place to enable swift service restoration in case of failure.
  • Handling AV & Classroom tickets via the ServiceDesk system.
  • Communicating and coordinating with other ITS staff members on all matters related to AV and video conferencing.
  • Adhering to service performance targets, Operational Level Agreements (OLA), and Service Level Agreements (SLA) to ensure a high-quality service offering.
  • Collaborating as part of a team to ensure adequate and appropriate on-site coverage to support teaching, meetings, and events.

Training and Guidance: Ability to provide guidance and training to first-line support staff to assist them in handling AV and video conferencing issues.

Vendor Management: Skill in collaborating with third-party AV suppliers for maintenance, repairs, upgrades, and new installations.

Integration and System Functionality: Knowledge of integrating lecture capture systems with AV and video conferencing setups and ensuring the hardware components are fully functional and adaptable to changing needs.

Documentation and Inventory Management: Proficiency in maintaining detailed documentation and inventory lists of relevant systems and implementing backup provisions for swift service restoration.

Ticket Handling: Capability to handle AV and Classroom tickets efficiently through the ServiceDesk system.

Communication and Coordination: Strong interpersonal skills to communicate and coordinate effectively with other IT staff members regarding AV and video conferencing matters.
