At Rail Technical Services we’re looking for a Business Support Administrator to enable the effective and efficient delivery of our wide range of services to the UK rail industry.

In this role, you will provide administrative support to the Head of Business Development and across the business to ensure it runs smoothly including, but not limited to, ensuring customers and visitors are provided with a warm welcome to the business, that passes are issued, meeting rooms are prepared, ensuring the office is fully supplied with consumables, supporting the leadership team, maintaining organised files, providing support to month end reporting and undertaking secretarial duties.

Other key responsibilities include:

  • Ensure the office workplace is kept in good order.
  • Arrange the issuance of workwear, mobile phones, and PPE to all staff.
  • Arrange the drugs, alcohol screening and medicals of all staff.
  • Provide sickness/holiday cover to other admin staff across the business.
  • Collate end of month reports to ensure effectiveness of meetings.
  • Take accurate minutes and record actions at various management meetings.
  • Management and booking of meeting rooms, conferences, travel, accommodation etc.
  • Manage the general Enquiries email account and disseminate information as required
  • Support relevant tasks associated with business development and marketing activities such as logging enquiries into databases, assisting with events organisation and other similar activities as required.

What you’ll need to do the role:

  • High level of competency with business systems and use of Microsoft Office.
  • Numerate, accurate, with a good level of literacy.
  • High level of interpersonal and communication skills.
  • Ability to work autonomously, prioritise workload and make pragmatic decisions.
  • High degree of flexibility and can deal with ambiguity.
