Location – Stratford, London with hybrid working and occasional site visits
(Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements)

If so, then check out our exciting role as Events Executive at Transport for London.You’ll be working with events managers and suppliers to ensure smooth and efficient management and delivery of events; including management of suppliers, budget controls and expense tracking. You’ll manage delivery and generate revenue from any private hire/ commercial events on the TfL estate. And continually seek out opportunities for improvement and ensure the adoption of good practice across all TfL events.You’ll provide event owners with expert guidance and advice on planning and execution for events aimed at external audiences. You’ll continually seek out opportunities for improvement and ensure the adoption of good practice across all TfL events.Key AccountabilitiesYour duties will include, but not be limited to:

  • Developing and supporting any events requests for our non-corporate event space eg. disused platforms and stations, and other non-conventional spaces on the TfL estate. To identify required resources and suppliers to ensure that events are delivered in a professional way, on time and within budget with key internal and external partners
  • Developing and maintaining a series of documents to ensure TfL events are in-line with safety and security measures and up to date policy, the latest sustainability policy and EQIA evaluation
  • Working effectively with the Partnership team on assigned events to identify where and how events could be delivered in partnership with others to achieve the same or improved outcomes at a reduced cost to TfL
  • Ensuring that all events outputs i.e. material and speeches are in line with the relevant TfL standards and that key messages are consistent with TfL’s corporate messages
  • Support TfL’s revenue generation capabilities through developing a commercial event hire pipeline including close working with the film office and exploring private hire opportunities on TfL’s non-conventional event space
  • Providing a flexible events management service which will include working outside of standard office hours including evenings and weekends

Knowledge

  • Good knowledge and understanding of events, hospitality best practice and implementation. Including facilitating digital/virtual and hybrid events (Essential)
  • Strong demonstrable successful events management experience, identify required resources and suppliers to ensure that events are delivered in a professional way, on time and within budget with key internal and external partners (Essential)
  • A good understanding of social inclusion/exclusion issues, best practice, and relevant government guidelines/legislation as they may apply to management of events (Essential)
  • BS8901 – British Standard for Events Sustainability (Desirable)
  • Understanding of the practical realities of working in a high-profile public-sector environment (Desirable)

Experience

  • Demonstrable experience of providing cost effective event solutions (Essential)
  • Experience of delivering internal and/or external facing events for a large organisation within budget, time and quality. Including digital/virtual/hybrid events (Essential)
  • Experience managing external suppliers – ensuring best value in contracts (Essential)
  • Experience of implementing strategies for internal and external communications (Desirable)
