Job description: The Institute for Government is inviting applications for an Executive Assistant to support our Director and Deputy Director.
This is a pivotal role in the organisation. All aspects of our research work and corporate management flow through the office of the Director and Deputy Director . It is essential that Hannah and Emma use their time as effectively and efficiently as possible. The Executive Assistant is at the centre of this: ensuring proactive two-way communication with all parts of the organisation including research, communications, events, partnerships and operations; organisation of and preparation for Hannah and Emma’s many external commitments; and providing a reliable interface between the Director and the Board on all governance matters. The importance of this role for the smooth running of the entire organisation cannot be overstated.
As Executive Assistant, you will ensure that the Director and Deputy Director’s office runs as effectively and efficiently as possible. This will include:
Proactively managing the Director and Deputy Director’s busy diaries, including liaising with senior external stakeholders and handling media enquiries.
Processing and submitting expenses claims.
Organising the Institute’s Board and other governance Committee meetings, including liaising with Board members and their offices over meetings and other events; preparing and circulating Board and Committee papers; and taking minutes in Board and Committee meetings.
Working with colleagues in the research team to manage the flow of decisions, draft reports and other documents to the Director and Deputy Director for feedback.
Commissioning or preparing briefing materials for internal and external speaking events, with support from the research team where necessary.
Drafting letters to government ministers and other senior external stakeholders, tracking responses and following up as needed.
Assisting with the organisation of key internal and external events.

Expected salary: £30000 – 35000 per year
