Job Description

The role

The role is based in the Library’s Planning and Resources team, a small, friendly team that oversees PA, administrative, health and safety and maintenance activities across the Library Services Division.

The Executive Assistant works with all the Library teams, undertaking core administrative activities that support delivery of the range of services that the Division provides.

The role is based in Augustine’s Courtyard, and includes blended working in line with the Division’s guidance.

What will you be doing?

  • Providing a welcoming point of contact and advice about administrative matters to teams across Library Services.
  • Overseeing administrative processes, systems and internal communications to ensure relevant information is available to colleagues.
  • Dealing proactively with queries and ensuring resolution of problems.
  • Undertaking a wide range of administrative activities, from acquiring goods and services, to arranging for staff to attend external meetings, to coordinating and supporting Division-wide induction and health and safety activities.

You will bring to the role:

  • A strong commitment to service quality
  • Excellent planning and organising skills, and experience in a relevant role
  • Proficiency in Microsoft Office software, e-mail and web, and general office systems
  • Ability to take ownership of problems and find solutions
  • An adaptable and flexible approach to meeting the needs of the team and Division
