As the Lead Records Administrator with us at Foot Anstey in Plymouth you will support the Records Manager in leading a small team who provide an efficient and effective service assisting with the storage, retrieval, and safekeeping of legal records. This is a key and highly valued role in our firm where you will be supported by a friendly and welcoming team.This is an excellent opportunity for someone with records administration experience, who might be ready for a move into a more senior role, as a lead. The role would suit someone who has previously worked in a physical capacity as there is a requirement to move/lift boxes and use ladders and trolleys in a warehouse environment on occasion. You may be required at times to travel to other offices to assist with records management duties, for which a vehicle is provided.   • Cover for the Records Manager when necessary
  • Training of team and internal stakeholders in respect of records database
  • Supervising and allocating daily work schedule to a small team of Records Administrators
  • Deal with requests from internal stakeholder, and external clients following set record management procedures, Law Society guidelines and Data Protection compliance
  • Work within the firm’s Health & Safety guidelines to ensure/maintain a safe working environment
  • Collating team figures for the manager (Excel)
  • Locate records using the Foot Anstey database
  • Arrange delivery of items to internal clients
  • Work on occasion at the remote storage facility (in Plymouth) to deposit and retrieve documents
  • Create and amend database records maintaining a high level of accuracy and attention to detail at all times

What we’re looking for

  • A full driver’s licence (essential)
  • Demonstrable experience in records administration
  • Ability to cope with repetitive work and follow set procedures
  • Ability to work in a warehouse environment, lifting boxes and climbing ladders
  • Attention to detail with a high degree of accuracy (good numeracy and literacy skills)
  • Solutions focused nature with strong problem solving skills
  • Ability to prioritise and manage own workload and the ability to deal with a variety of tasks
  • Ability to remain calm under pressure
  • Confident IT skills and experience using of MS Office and Windows software
  • Excellent interpersonal skills to deal with a range of people both internally and externally
  • Experience and interest in working as part of a collaborative team
