Our client is a leading company in Ground Service Equipment Engineering that specialises in providing high-quality maintenance and repair services for aviation ground support equipment at Heathrow Airport is looking for a highly efficient and experienced Office Administrator to join their successful team.
As an Office Finance Administrator, you will play a crucial role in ensuring the efficient operation of the company’s airside offices. You will be responsible for a wide range of administrative tasks, customer communication, scheduling, parts procurement, bookkeeping, and reporting. This position is vital to our daily operations and overall customer satisfaction.
Office Administration Key Responsibilities:
Handle day-to-day administrative duties, including answering phones, managing emails, and filing documents.
Maintain office supplies and ensure a tidy and organised office environment.
Assist team members with administrative support as needed.
This position will be based in the company’s porta cabin environment
Customer Liaison:
Act as the primary point of contact for customers, addressing inquiries, and keeping them informed about repair progress and updates.
Provide exceptional customer service to ensure a positive customer experience. 3. Scheduling and Repair Management:
Utilise scheduling software to efficiently book and update repair appointments.
Allocate workshop space and time slots for equipment repairs.
Monitor repair progress and ensure timely completion of all tasks.
Parts Procurement:
Coordinate with suppliers and order necessary parts and components for equipment repairs.
Maintain accurate records of parts orders and inventory.
Bookkeeping and Accounts:
Process invoices, receipts, and payments accurately.
Reconcile accounts and maintain financial records.
Assist in payroll processing if required.
Reporting:
Generate end-of-week reports summarising repair activities, parts procurement, and financial transactions.
Provide insights and recommendations for process improvement.
Office Finance Administration Person specification :
Previous experience in office administration
Proficiency in all MS Office programmes
Ability to learn new computing software and basic knowledge of accounting principles.
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to work independently and as part of a team.
Familiarity with the aviation industry or GSE equipment is a plus.
