Are you a Facilities Manager from a strong legal background looking for a new position within a fast-faced, vibrant office? If you are then look no further as I have the role for you! My client is a top international law firm who have had a resignation in the team and are urgently seeking a new Facilities Manager. My client is looking for someone approachable, flexible, highly organised and motivated to oversee the delivery of all office services whilst managing all of the reactive works too.

Main duties will include:

  • Line management of 3 (facilities/general office and archivist) covering appraisals, 1:1s, disciplinaries and reviews
  • Overseeing the facilities helpdesk ensuring resolutions are met in line with SLA’s
  • Keeping accurate records of building management and external contractor queries ensuring all issues are followed up and a resolution found ASAP
  • Ensuring cost effectiveness of contractors and suppliers
  • Making sure all pre-planned contractor work is undertaken in line with in-house processes
  • Report any major issues to Head of Business Services
  • Staying on top of all joiners and leavers including onboarding/exit meetings along with inducting new staff
  • Management of desk booking system and locker provision, supporting a clear desk policy
  • Contributing towards environment initiatives, reviewing on a regular basis
  • Up-dating internet/online communications
  • Acting as project manager to facilitate projects
  • Prepare project plans and implement timelines, obtaining costings inline with budgets
  • Liaising with contractors on a regular basis
  • Health & Safety compliance – arrangement of fire marshals, first aiders DSE assessors and arranging training etc
  • Being a trained fire marshal and fire coordinator during evacuations
  • Ensuring all health and safety records are accurate and up to date informing the wider business of any up-dates
  • Ensure the office is secure raising any concerns with management
  • Regularly monitoring the access control system and making sure this is up to date with audits happening regularly
